VMOTEK tracks a maintenance program per vehicle. Each program has one or more triggers — a calendar interval, a mileage interval, an engine-hours interval, or a combination where whichever comes first wins. When a trigger is met, VMOTEK checks whether an open or recently completed work order already covers that service, and if not it creates a draft PM work order for a human to review. Completing the work closes the cycle and schedules the next occurrence from the actual completion reading.

    Define the program

    Attach a maintenance program to a vehicle or vehicle class: service name, the tasks included, and the triggers — every 6 months, every 10,000 miles, every 250 engine hours, or a combination.

    Collect the readings

    Odometer and hour-meter readings arrive at check-in, from an inspection, from an invoice, or from a supported telematics configuration. The most recent trusted reading drives the schedule.

    Evaluate the triggers

    VMOTEK evaluates date, mileage and hours together. With combined triggers, whichever threshold is reached first makes the service due, and a due-soon window flags it before it lands.

    Guard against duplicates

    Before creating anything, VMOTEK looks for an open PM work order, a scheduled appointment or a recent completion covering the same service on the same vehicle, and links to it instead of creating a second one.

  5. 05

    Create a reviewable draft

    A draft PM work order is created with the program's tasks, the triggering evidence, and the vehicle history attached. Nothing is dispatched or billed until a person approves it.

  6. 06

    Complete and roll forward

    On completion, the actual date and reading are recorded, the cycle closes, and the next due point is calculated from that reading rather than from the original plan.
