Fleet portal

Setting up fleet accounts and portal access

Fleet portal access is based on the invited person’s email identity and explicit company membership. A person invited by more than one shop can use one identity and select the company they intend to work with.

Build the fleet account

Confirm the customer organization, billing terms, service locations, asset identifiers, purchase-order rules and operational contacts before inviting users.

Invite the right email identity

Send the invitation to the person’s business email. If that identity already exists, accepting the new invitation adds the authorized company relationship rather than creating another password identity.

Assign company-scoped access

Grant the user only the fleet account, assets and actions required for that repair company. Membership in one shop must never expose another shop’s customers or internal repair application.

Validate the customer journey

Test invitation acceptance, company selection, asset visibility, estimate approval, service status and document access using a non-administrator portal account.

  • Confirm the company selector appears when multiple memberships exist.
  • Verify direct URLs cannot cross company boundaries.
  • Remove test invitations and accounts after validation.
